Welcome to ROM Athletic Club. By becoming a member and using our facilities, you agree to comply with these terms and conditions. Please read them carefully.
1. Membership Terms
Duration & Renewal
Membership automatically renews unless cancelled at least 7 days before the renewal date.
Fees & Payment
All membership fees must be paid in advance. We accept credit/debit cards. Failed payments may result in membership suspension.
Cancellation Policy
Members may cancel their membership with 30 days written notice. No refunds will be issued for partial months. Annual memberships require 60 days notice.
2. Facility Rules
Towel Policy
All members must bring their own towel and use it on all equipment and surfaces. This is mandatory for hygiene and the protection of our equipment.
Respect for Property & Others
Members must treat all gym equipment, facilities, and fellow members with respect. Return weights and equipment to their designated areas after use. Aggressive behavior or disrespect towards staff or members will not be tolerated.
Operating Hours
Please respect our operating hours. Members must vacate the premises within 15 minutes of closing time. Extended hours may be available for special events.
Cleanliness
Members are expected to maintain cleanliness throughout the facility. Wipe down equipment after use with provided sanitizing materials. Dispose of trash properly.
Appropriate Attire
Wear proper athletic attire at all times. Shirts must be worn during training. No jeans, sandals, or street shoes allowed on the training floor.
3. Health & Safety
Medical Fitness
All members must be in good physical health and medically fit to participate in physical training activities. Members with pre-existing medical conditions should consult their physician before beginning any exercise program.
Health Disclosure
Members must disclose any relevant medical conditions, injuries, or physical limitations to our staff prior to training. This information will be kept confidential and used solely to ensure your safety during training sessions.
Injury Reporting
Any injuries sustained on premises must be reported to staff immediately. First aid equipment is available on site. In case of serious injury, emergency services will be contacted.
Health Protocols
Members showing symptoms of illness should not attend the facility. We reserve the right to implement additional health and safety measures as needed to protect our community.
4. Code of Conduct
Expected Behavior
ROM is built on trust, responsibility, and shared respect. Members are expected to create a positive and supportive environment for all. Harassment, discrimination, or intimidation of any kind will result in immediate membership termination without refund.
Prohibited Activities
- Use of prohibited substances or performance-enhancing drugs
- Training under the influence of alcohol or drugs
- Photography or filming without explicit written consent
- Solicitation or commercial activity without authorization
- Loud or disruptive behavior that disturbs others
- Damage to property or equipment (intentional or through negligence)
Minors & Supervision
Members under 18 years of age must have written parental/guardian consent and be supervised by a parent/guardian or authorized adult at all times while on premises.
5. Liability Waiver
Assumption of Risk
By signing up for membership, you acknowledge that physical training involves inherent risks including, but not limited to, muscle strains, sprains, broken bones, and more serious injuries. You voluntarily assume all risks associated with your participation.
Release of Liability
ROM Athletic Club, its owners, employees, trainers, and affiliates shall not be held liable for any injury, illness, death, or loss of property that may occur on premises or as a result of participation in any activities, classes, or training sessions.
Waiver Requirement
All members must sign a comprehensive liability waiver before being granted access to the facility. This waiver is legally binding and remains in effect for the duration of your membership.
Voluntary Participation
Your participation in all activities at ROM Athletic Club is entirely voluntary. You are free to discontinue any activity at any time if you feel uncomfortable or unsafe.
6. Privacy & Data Protection
Information Collection
We collect personal information including name, email, phone number, emergency contact details, and health information necessary for safe training. This information is stored securely and used only for membership administration and safety purposes.
Data Usage
We may use your email address to send club updates, training information, and promotional materials. You may opt out of promotional communications at any time.
Data Protection
We implement appropriate security measures to protect your personal information. Your data will not be sold or shared with third parties except as required by law or with your explicit consent.
7. Payment Terms
Payment Methods
We accept major credit cards and debit cards. All payments must be made in Euros (€).
Billing Cycle
Memberships are billed in advance on the same day depending on your membership type. You will receive an invoice via email.
Failed Payments
If payment fails, your membership may be suspended after 7 days. A processing fee may be charged for failed payments. Membership will be reinstated upon successful payment.
Refund Policy
Membership fees are non-refundable. In exceptional circumstances, refunds may be considered at management's discretion.
8. Class Booking & Cancellation
How to Book
Classes can be booked through our online booking system or mobile app. Spaces are limited and allocated on a first-come, first-served basis.
Cancellation Policy
Classes must be cancelled at least 4 hours in advance to avoid being charged or losing a session credit. Late cancellations or no-shows may result in loss of booking privileges.
Waitlist
If a class is full, you may join the waitlist. You will be automatically notified if a space becomes available.
9. Lost Property
Personal Responsibility
ROM Athletic Club is not responsible for lost, stolen, or damaged personal property. Members are advised to keep valuables secure and use the lockers provided.
Lost & Found
Found items will be held for 30 days before being donated to charity. Please report lost items to reception as soon as possible.
10. Membership Termination
Termination by Member
Members may terminate their membership by providing written notice as per the cancellation policy outlined in Section 1.
Termination by ROM
ROM Athletic Club reserves the right to terminate any membership immediately without refund for violation of these terms, inappropriate conduct, non-payment, or any behavior deemed harmful to the club community.
Post-Termination
Upon termination, all access rights are immediately revoked. Outstanding fees must be paid in full. Personal belongings must be collected within 7 days.
11. Changes to Terms
Right to Modify
ROM Athletic Club reserves the right to modify these terms and conditions at any time. Members will be notified of significant changes via email or posted notice.
Continued Use
Continued use of the facility after changes have been posted constitutes acceptance of the modified terms.
